Can you work in the software I already use for proposals and branded materials?

Yes! Our Administrative Assistants are trained to work directly inside the platforms you already use for proposals and other client-facing materials. We adapt to your systems so everything stays consistent and organized.

If I don’t have a preferred software or system in place for creating client-facing materials, can you set that up for me?


Absolutely! If you don’t have a preferred software, we can help you choose one and set it up. Additionally, if you don’t have a system of procedure in place for the creation of client-facing documents, we can create that for you as well. 

 

During onboarding, we’ll learn about your design process. From there, we’ll create a streamlined workflow for how documents are created, stored, and delivered to clients that way you always know where everything lives.

How do you match my design style and branding?

Every document we create — whether it’s a proposal, welcome kit, or presentation — is customized to reflect your brand and design style. We work with your logo, colors, fonts, and imagery to keep your materials cohesive and professional.

During onboarding, we’ll also review your tone of voice and aesthetic preferences so your documents feel aligned not only with your visual brand, but also with how you communicate with clients. 

If you already have templates or examples, we can refine and standardize them. If you don’t, we’ll create fresh, on-brand templates that match the look and feel of your business.

How do you make sure client-facing materials feel customized for each client, not cookie-cutter?

We believe every client experience should feel personal. While we create systems and templates to give your business consistency, each item is tailored to the specific project and client.

  • Project-Specific Details: Each item will include project-specific details such as the scope, budget, and design process that applies to that client’s project. 
  • Personalization: We’ll add project names, client details, and any unique touches (such as design boards or presentation slides) so clients feel the material was created just for them. 
  • Flexible Templates: We build templates that make the process efficient, but always leave room for custom notes, timelines, or deliverables for each project.

Can I review and approve documents before they’re sent to clients?

Yes, you will always have the final say. Every proposal, welcome kit, or document your Administrative Assistant prepares will be shared with you first for review and approval. This way, you can make edits, add personal touches, or adjust details before anything goes out to your clients.

Inside the 4Dbiz Portal, you can easily provide feedback, request revisions, and keep all communication tied directly to that item. Nothing gets sent to your clients until you’re 100% satisfied with how it looks and what it says.

What does the onboarding process look like?

Working with our Administrative Team begins with a one-time Onboarding process led by our Fractional COO, Samantha, alongside your dedicated Administrative Assistant. Through this process, your Assistant becomes fully trained in your business operations and ready to take tasks off your plate smoothly and efficiently.

Here’s what to expect:

  • Length of Process: The Administrative Onboarding process typically takes 7–14 days, depending on your schedule and availability. 
  • Executive Support: You’ll have 2.5 Executive Hours with Samantha, including two one-on-one meetings, plus in-house training between Samantha and your Administrative Assistant to align on your specific processes. 
  • Assistant Support: You’ll also have 2.5 Virtual Assistant Hours for an Intro Call with your new Admin and for them to begin working on your first administrative tasks. 
  • Deliverables: You’ll receive a Custom System of Procedures document tailored to your design process and internal workflows, so everyone operates from the same playbook moving forward.

What do I need to provide to get my Administrative Assistant started?

During onboarding, we’ll ask you to provide:

Brand assets including your logo, brand colors, fonts, and any existing style guides so we can make every document look polished and cohesive.

Access to your tools and systems such as Dubsado, Studio Designer, Mydoma, Ivy, DesignFiles, Canva, etc.

Any existing templates, brand assets, or examples of documents you’d like us to model or refine. 

Details about your design process and client journey so we can align documents with how you work. 

Communication style and whether you prefer your documents to sound more professional, casual, luxury-focused, etc. 

We’ll also review your delegation style and preferred communication methods so your Assistant knows exactly how to best support you. 

How do I securely share vendor contacts, order information, and logins?

All information is securely stored inside your User profile within the 4Dbiz Portal. This keeps your logins and sensitive details organized and protected while being accessible to your Admin.

What’s the turnaround time before my Administrative Assistant can start managing this process fully? 

After onboarding is complete, your Administrative Assistant will be fully prepared to take ownership of creating and managing your client-facing documents, proposals, and welcome kits. 

This means they’ll be ready to draft, format, and customize materials on your behalf, freeing you to focus on design and client relationships while we handle the details behind the scenes
