4Dbiz Terms of Service Update | September 2024

We would like to inform you that we have updated our 4Dbiz Terms of Service, effective on Monday, September 30. There is no action needed from you at this time, other than to review our terms of service update below! Please feel free to reach out with any questions or concerns, and a member of our team will be happy to clarify and assist you.

It is important to us that you understand why these changes are being made. In the effort to remain completely transparent, we have included our Executive Team’s reasoning behind each update, and how it will benefit the team members who are supporting your tasks. It all comes down to our mission, our core values, and our commitment to you:

In an effort to build, grow, and develop the strongest possible team, it is crucial that we provide a positive culture and ample room for growth and development. Each of these terms of service updates will help us provide the best possible experience for our employees, which means that you will have a skilled staff available to you with low to no overturn! Everyone wins – together. 🙂

What’s New? 

1. 4Dbiz Team Meetings

What:

Beginning on Monday, September 30, we will be tracking time for our 4Dbiz Team Meetings. For each team that you have onboarded, 1 Assistant and 1 Executive will be counted toward a Team Meeting time log that will communicate with your Virtual Assistant dashboard. We typically spend about 1-5 minutes discussing each of our active clients on a weekly basis, so this should be a very minimal change for you that will add up to a big opportunity for your team.

Please note: If you would not like the Executive Team’s oversight on your team and tasks, just send us an email and we will exclude you from the bi-weekly roll call.

Why:

Team communication is essential for the success of the Fractional Model at 4Dbiz. Unlike the typical Virtual Assistant service out there, where you would be required to micro-manage your own tasks and keep everything running, our Executive Team commits to coaching and managing your team alongside you. Our team meetings give us the opportunity to communicate as a single team under one roof, ensuring maximum efficiency and top quality.

This time tracking update will be used to fund our Virtual Assistant Team’s raises for 2025. As a company, we invest up to 80 company hours per month into team communication, delegation, technology training, professional development, and other efforts that make our fractional team the best in the industry! By sharing a small portion of that responsibility with our clients, we will be able to provide competitive raises going into next year.

2. Team Holiday Bonus 

What:

All unused Annual Contract Hours during the week of December 23, 2024 will be put towards a bonus for our team of Virtual Assistants. In other words, we will not convert unused Annual Contract Hours and credit them back at the No Commitment rate as we typically do each week.

You will still be allowed to roll ahead during the week of December 16 in order to use those hours in advance. You will also be able to use your weekly hours on December 23 and/or December 27 when the company is open, if needed. We are not limiting you from using your weekly hours in any way. However, any unused hours will be overturned at the end of the week, and given straight to our assistant team as a bonus.

Why:

The dollar amount of all unused Annual Contract Hours during the week of December 23 will be distributed directly amongst our team of Virtual Assistants as a portion of their holiday bonus (the other portion to be provided by 4Dbiz). If you would like to contribute a larger sum to your Virtual Team this year, we encourage you to take the week of December 23 off and enjoy the holidays! This joint bonus provides our team with the paid time off they deserve to enjoy the holidays with their family, without the stresses that accompany this very expensive time of year.

3. Expiration of No Commitment Hours 

What:

No Commitment Hours will now expire after one year. If your account is inactive (no tasks in progress) for 12 months, unused hours will be removed from your account. This includes hours that were originally purchased as No Commitment Hours, as well as any hours that were converted and rolled over from unused Annual Contract Hours.

Why:

The terms of service updates listed so far in this email allow our Annual Contract clients to contribute to our team’s growth and development. We want to give No Commitment clients the opportunity to do the same! Over the past 5 years, our pricing structure has shifted over time – as we perfected the Fractional Model to be exactly what a growing design business really needs. Because our rates have increased, the 12 month expiration will ensure that our team is never working on tasks that will not be profitable as their own compensation has increased accordingly.

4. Quality Control & Leadership

What:

Beginning Monday, our Executive Leadership Team will no longer be doing task-specific coaching and/or providing credited time back on tasks when the communication has been outside of our 4Dbiz portal. We ask that whenever possible, you communicate with (y)our Virtual Assistant team inside of the relevant task discussion message, which will allow us to respond effectively on any Quality Issue Reports that may arise.

Why:

Along with competitive compensation, we believe that a great culture will help us retain a team of rockstars. Our work environment encourages work/life balance, healthy boundaries, and hands-on support from team leadership. When communication is happening in an individual’s email, Slack, or other channel, we cannot provide as much support to our Assistants as we know they need. And it is difficult to backtrack and accurately assess a task’s progress in order to credit any necessary time for errors or missed details. In order to live up to our commitment to provide the absolute highest quality task deliverables, we need to ensure that communication is clear and organized.

5. Consent To Share Task Deliverables 

What:

All tasks moving forward will be applicable to be shared in 4Dbiz marketing materials, unless you explicitly state otherwise. We will always credit you as the designer, and will clearly state how the 4Dbiz Team supported the task. If you do not want us to share a task (or if you would prefer we do not list/link you as the designer for any reason), please just let us know at the time of completing the task!

Why:

Many interior designers who are considering joining 4Dbiz and working with our team are first-time delegators. It can be very challenging to relinquish control and to give trust when they have worked so hard and done everything on their own up to now. The absolute best way to build trust with a new client is through referrals, reviews, and example works! By sharing task examples on our blog and in our email newsletter, we will be able to showcase our wonderful team’s work and hopefully continue to help more and more interior designers succeed.
